# Managing members

> Add and remove members in the Sharly Admin Console, and understand each member's status.

## Your member list

Open **Users** to see everyone at your institution with access to Sharly.

* **Search by email** to find a member.
* Use the filter to show **Current members** or **Including removed**.
* The counter at the top shows how many members you have and how many places are available.

Each member has one of these statuses:

| Status | What it means |
| - | - |
| **Invited** | Added, but hasn't signed in to Sharly yet. They get access the first time they sign in. |
| **Active** | Has a Sharly account and your institution's plan. |
| **Removing…** | Being removed. Their access ends at their next session. |
| **Removed** | No longer a member. Shown under **Including removed**. |

Invited and Active members both count toward your member limit.

## Add a member

<Steps>
  <Step title="Click Add member">
    In **Users**, click **Add member**.
  </Step>

  <Step title="Enter their email address">
    Use the address they sign in to Sharly with. Capital letters don't matter.
  </Step>

  <Step title="Click Add member to confirm">
    They appear in your list as **Invited**, or **Active** if they already have a Sharly account.
  </Step>
</Steps>

<Warning>
  Sharly doesn't email new members. Let them know they have access, for example with the [announcement template](/academia/admin-console/rollout#announce-sharly-to-your-members).
</Warning>

* **Any email address works.** The console suggests your institution's domain, but you can add any address.
* **Any sign-in method works.** Members can sign in with Google, Microsoft or Apple, as long as the account uses the email address you added.
* **Existing Sharly users keep their work.** Their documents and chats stay in their account, which moves to your institution's plan the next time they open Sharly.

## Remove a member

<Steps>
  <Step title="Find the member">
    Search for their email in **Users**.
  </Step>

  <Step title="Click the trash icon">
    In the **Actions** column, click the trash icon (**Remove member**), then confirm.
  </Step>

  <Step title="Check the status">
    The member shows as **Removing…**, then **Removed**.
  </Step>
</Steps>

When you remove a member:

* Their access to your institution's plan ends at their next session.
* Their Sharly account, documents and chats stay with them. They move to the Free plan, or back to their own paid plan if they have one.
* You can add them again at any time.

You can't remove your own account.

<Note>
  To protect your institution from accidental bulk removals, you can remove up to **10 members per hour**, or **20% of your members** if that is more. For larger changes, email [info@sharly.ai](mailto:info@sharly.ai).
</Note>

## Member limit

Your plan sets how many members you can have. The counter in **Users** shows how many places are left, and the limit is also on the [Plan](/academia/admin-console/plan-and-activity#your-plan) page.

To add more members than your plan allows, email [info@sharly.ai](mailto:info@sharly.ai).
